Overview
The Airbnb reminder template should be the second scheduled message in the guest communication lifecycle. If you haven’t seen my welcome message template, start there because that one should go out first. I like to send this message a day or two before arrival. It contains a few highlighted points that will be helpful for your upcoming guest.
If your listing accepts same-day bookings, any essential information in this message should have already been included in the welcome message because this won’t be sent automatically if it’s inside of the trigger window. Below is the reminder message that I use for our listing in Costa Rica.

Hey Anna,
You’re only two days away from Playa Flamingo! Here’s some additional information before you arrive.
Driving Directions:
You can search on Waze or Google Maps for ‘The Flamingo Dream’ or ‘Flamingo Beach Road 400’ and that should get you to the front of our building (Costa Rica doesn’t use street addresses 🤪). The nearest beach cafe is Coco Loco and we’re right around the corner. If coming from the Liberia Airport, do NOT take the ‘911 Highway’ unless you are familiar with that route. It’s best to take a few minutes and orient yourself before your adventure begins.
Arriving:
We have a lock box on the front door with a key inside and the code will be generated and sent over the morning of your arrival. Enter the code and press the lock button, then the compartment will open. I’m almost always available for questions and our property manager, Elsie, is available on WhatsApp if there are any maintenance emergencies. Her number is XXXXXXX.
If you haven’t already, take a look at our guidebook for Playa Flamingo. We’ve compiled a list of our favorite restaurants, markets, and general info. www.airbnb.com/s/guidebooks?refinementpaths%5B%5D=/guidebooks/3760181
Wifi:
I like to provide this before you arrive. In case you don’t have cell service and there is an issue getting in to the unit, this will be saved in your Airbnb messages.

We’re excited to host you soon and I’m here if you have any questions!
Pura Vida,

All that information is helpful and provides most of the information that guests may inquire about on check-in day. Because international travelers may not have cell service in a foreign country, I always provide the login credentials in the message as a backup. That information should already be set up in your Airbnb listing, but guests may still have difficulty finding it.
It’s not necessary, but why not use this opportunity to connect with your guest once more before their arrival? Developing a solid rapport helps build trust and in turn, have the guest leave you a review at checkout. Best thing? It’s automatic when set up properly as a scheduled message. Looking for other Airbnb message templates? You can find all of them in the Superhost articles template section.
Ideas
In addition to directions and check-in instructions, you can remind them of:
- Amenities you offer – this towel is a great value-add amenity
- Local business recommendations
- A link to your Airbnb guidebook
- All of the above in a mobile menu of information
