Looking for an Airbnb welcome message template? Let’s go! Any communication with your guest should be friendly, personal, and easy to understand. Just like your cancelation policy, the information in your Airbnb welcome message should reflect the specifics of your listing. Do you take same-day bookings? Or do your reservations have a longer booking lead time? You’ll need to decide what information to provide at various points in the pre-arrival process.

Same-day bookings

Listings that accept same-day bookings should have all the essential information in one easy-to-understand welcome message. This allows the guest to book your space, immediately receive all the necessary info, and complete a self check-in without you needing to send any messages manually. I recommend an automated lock or lockbox from IglooHome. It integrates with Airbnb and automatically sends the guest a code that is only valid for the duration of the reservation. Other bookings

Listings that don’t accept same-day bookings have more flexibility with automation. An instant book note is always sent out, but the host can send the actual welcome message manually if they want to relay specific information about a reservation.

Below is my template for our listing in Costa Rica. Our rental does not accept same-day or next-day bookings without approval, so I’ve provided some important details and highlighted that more would follow as it gets closer to the arrival date. Hey John,

 

I appreciate the info and wanted to send a quick thanks. By booking with us, you’ve ensured that your visit to Playa Flamingo is going to be a great one. Here’s a quick overview and I’ll be sending out some more information a few days before your arrival. More info can be found on our website, TheFlamingoDream.com.

 

Getting To The Condo:
Playa Flamingo is about one hour driving from the Liberia International Airport. Taxis are normally available but we encourage renting a car. While the main highways are paved, dirt roads are a norm in Cost Rica. A 4×4 (or all wheel drive) rental is recommended in the green season and extremely helpful navigating the occasional washed out areas. Waze is the preferred navigation app but don’t follow it blindly and check your routes first.

 

Checking In:
Check-in is 3pm and the unit may be ready before then. When arriving, it’s best to park on the street to get settled in and then you can park off street after if you prefer. We normally use street parking all the time as it’s much easier to come and go. There is a lock box with a condo key on our front door and we will provide you with detailed check-in information and the access code the morning you arrive.

 

Checking Out:
Checkout is 11AM and a late checkout is may be available if we don’t have cleaners scheduled to prepare for the following guests. Please clean up any food mess in the kitchen and we’ll take care of everything else.

 

Air Conditioning:
We kindly ask that you help conserve energy and turn off the AC units when you are not in the condo. They are very efficient and will cool down the space quickly when turned on.

 

Power Outages:
Regional power outages happen on occasion and we do not offer refunds for such events. LED lanterns are provided in the event the power is temporarily out during your visit. Our nearest beach cafe, Coco Loco, is equipped with a generator and normally open during outages.

 

Beach Gear:
We provide beach chairs, towels, a sun shade, cooler, koozies, a bluetooth speaker, games, tree hammocks, and more. You are welcome to use anything in the condo but please leave the items in the same condition as you found them.

A follow-up message with additional information will send two days before arrival.
